ProClubHQ (“we”, “us”, “our”) is a product of Stacksy. This policy explains what information we collect when you use the ProClubHQ web dashboard and mobile app (the “Service”), how we use it, and the choices you have. By using the Service you agree to this policy.
Who we provide the Service to
ProClubHQ is provided to sports and community clubs (each a “Club”) to manage staff rostering, time-keeping, payroll and turf-fee payments. If you are a club staff member, your Club is the controller of your data and decides how it is used within the Service.
Information we collect
- Account information — name, email address, phone number, role and pay rate, which your Club enters or you provide at sign-in.
- Work information — shifts, availability you set, shift claims and swaps, and clock in/out times you record.
- Payment information — when someone pays a turf fee, we collect their name, email and the amount. Card details are entered directly with our payment processor and are not stored on our systems.
- Device information — a push-notification token so we can send you alerts, and basic technical data (app version, device type) needed to operate the Service.
How we use information
- To provide and operate the Service — rosters, time-keeping, timesheets and payments.
- To send notifications you’ve enabled (e.g. roster published, shift approved).
- To process turf-fee payments and provide receipts.
- To secure, maintain, troubleshoot and improve the Service.
We do not sell your personal information, and we do not use it for advertising.
Who we share it with
- Your Club — managers at your Club can see the work and pay information relevant to running the roster.
- Service providers — we use trusted providers to run the Service: hosting infrastructure, push-notification delivery (Expo), and a payment processor for card payments. They may only process data on our instructions.
- Legal — where required by law or to protect rights and safety.
Storage & security
Your information is stored on secured servers and transmitted over encrypted (HTTPS) connections. Access tokens are stored in your device’s secure storage. While no system is perfectly secure, we take reasonable steps to protect your information.
Data retention
We keep information for as long as your Club uses the Service and as needed for payroll, tax and legal record-keeping. You can ask us or your Club to delete your information, subject to those obligations.
Your choices & rights
- You can turn push notifications off in your device settings.
- You may request access to, correction of, or deletion of your personal information.
- Staff requests are usually handled by your Club; you can also contact us directly.
Children
The Service is intended for club staff and administrators and is not directed to children under 16.
Changes
We may update this policy from time to time. We’ll post the new version here and update the date above.
